Job Applicant Data Protection Policy

This Data Protection Policy (“Policy”) sets out how Kingsforce Management Services Pte Ltd (“we”, “us”, or “our”) collects, uses, discloses, or processes personal data of job applicants in accordance with the Personal Data Protection Act (“PDPA”).

This Policy applies to personal data in our possession or under our control, including data handled by third-party service providers engaged through JobsHola, our web and mobile application.

This Policy is an addendum to our Job Application Form and should be retained as part of the application process.

1. Scope

This Policy applies to all individuals who have applied for any job position with us (“job applicants”).

2. Personal Data

“Personal data” refers to any information about a job applicant that can identify them, either directly or indirectly.

Examples of personal data we may collect include:

  • Name, gender, date of birth, nationality, place of birth
  • Contact details: mailing address, phone number, email
  • Resume, education, professional qualifications, employment references
  • Employment and training history
  • Work-related health issues or disabilities
  • Photographs
  • Any additional information voluntarily provided

3. Collection, Use, and Disclosure

We collect personal data that:

  • You provide voluntarily (directly or via an authorised representative such as a job placement agent), with prior notice and written consent, or
  • Is permitted or required by law without consent.

Purposes of collection, use, and disclosure include:

  • Assessing your suitability for employment
  • Verifying identity and accuracy of information
  • Complying with laws, regulations, or assisting regulatory authorities
  • Sharing with authorised third parties or government agencies, locally or abroad
  • Any other related business purposes

Note: If you provide another person’s data, you must obtain their consent before sharing it with us.

4. Withdrawing Consent

You may withdraw consent at any time by emailing our Data Protection Officer (DPO).

  • We will process requests within 10 working days, or notify you if additional time is required.
  • Some requests may not be possible due to legal obligations.
  • Withdrawing consent does not affect our right to process data where allowed by law without consent.

5. Access to Personal Data

You may request access to your personal data or information about its use.

  • A reasonable fee may apply; you will be informed beforehand.
  • Requests will be handled as soon as reasonably possible (normally within 30 days).

Exemptions include, but are not limited to:

  • Opinion data, examination data, legal or arbitration proceedings
  • Data that could harm others, reveal confidential commercial information, or violate national interest
  • Requests that are repetitious, trivial, or impossible to fulfil

6. Correction of Personal Data

You may request corrections by emailing our DPO.

  • Requests will be processed within 10 days, or you will be informed of delays.
  • Certain data, such as evaluative opinion data or ongoing examination/prosecution data, cannot be corrected.

7. Protection of Personal Data

We use administrative, physical, and technical measures to protect personal data, including:

  • Antivirus, firewalls, encryption
  • Privacy filters
  • Need-to-know access only

While we strive for security, no electronic system is completely secure.

8. Accuracy

Please update us if your personal data changes by contacting our DPO via email.

9. Retention

We retain personal data as long as necessary for the stated purposes or as required by law.

  • Upon successful employment, application data becomes part of your employment records.
  • Data no longer needed will be securely disposed of.

10. Transfers Outside Singapore

We generally do not transfer data abroad.
If necessary, consent will be obtained, and data will remain protected according to PDPA standards.

  • You acknowledge that your personal data is accurate and complete.
  • You consent to the collection, use, and disclosure of your data as outlined.
  • You confirm any third-party submission of your data is authorised.
