Primary Responsibilities:
About the role: The Planning Manager in the Facilities Department is responsible for planning, coordinating, and managing schedules for maintenance, construction, renovation, and other facility-related projects. This role ensures tasks are completed efficiently, on time, and within budget while minimizing disruptions to facility operations. The Scheduler collaborates with project managers, contractors, and internal teams to maintain accurate timelines and identify potential risks.
Key Responsibilities
- Schedule Development and Management
- Develop and manage detailed project schedules for maintenance, renovations, and new construction using project management software such as Primavera P6.
- Identify key milestones, dependencies, and critical paths for projects.
- Coordinate timelines across multiple teams, contractors, and vendors.
- Standardize project schedules and reporting processes across projects.
- Support and coach contractors in transitioning to Primavera P6 and ensure alignment with internal project control requirements (cost, schedule, deliverables).
- Progress Monitoring and Updates
- Track and regularly update project schedules to reflect actual progress.
- Conduct critical path analysis to ensure timely delivery.
- Monitor schedule performance and report updates to leadership.
- Identify and address resource constraints and avoid over-allocation.
- Proactively identify potential delays or risks and recommend corrective actions.
- Coordination and Communication
- Work closely with project managers, engineers, and maintenance teams to align schedules with operational needs.
- Organize and lead coordination meetings to resolve scheduling conflicts or changes.
- Serve as the primary point of contact for all schedule-related matters.
- Risk Management and Mitigation
- Identify scheduling risks such as resource limitations or procurement delays.
- Develop contingency plans to manage and mitigate project disruptions.
- Reporting and Documentation
- Prepare reports, Gantt charts, and dashboards to communicate schedule status to stakeholders.
- Maintain accurate and up-to-date documentation of project schedules and adjustments.
Secondary Responsibilities:
Education & Certification
- Bachelor’s degree in Facilities Management, Construction Management, Project Management, or a related field.
- Valid Primavera P6 license with demonstrated proficiency in the software.
- 5–8 years of experience in scheduling for facilities management, construction, or maintenance projects.
- Proven ability to manage complex projects with multiple stakeholders and tight timelines.
- Strong knowledge of building systems, facility operations, and preventive maintenance programs.
- Experience coordinating shutdowns, refurbishments, and multi-phase construction schedules.
- Proficiency in scheduling tools such as Primavera P6, Microsoft Project, or Smartsheet.
- Solid understanding of budgeting, procurement timelines, and project cost control.
- Skilled in resource levelling, workload balancing, and critical path analysis.
